Summary
This policy outlines the terms and conditions for renting an eBike from Playa eBikes®, including deposit requirements, acceptable return conditions, responsibilities, and potential deductions. Please review carefully before signing.
Purpose
This policy governs all eBike rental agreements and is designed to protect both the customer and Playa eBikes® by setting clear expectations regarding the condition, return process, deposit requirements, and limitations of the equipment provided.
Deposit Requirements
- Deposit Amounts:
- Extreme: $449
- Elite: $374
- Standard: $200
- Eco: $200
- Refund Conditions: The deposit will be refunded once the eBike is returned:
- In fully operational condition
- Moderately clean (free of excessive dirt or debris)
- With all original accessories (both keys, battery, and charger)
- To the designated pickup/drop-off location
- Refund Timeline: Refunds are processed within 5–7 business days after inspection.
Deposit Forfeiture & Damage Fees
If the eBike or accessories are returned damaged, missing, unclean, or non-functional, Playa eBikes® reserves the right to deduct fees from the deposit or retain the deposit entirely.
- Missing battery and/or keys: $150
- Missing or non-working charger: $75
- Cleaning fee: $50
- Damage to eBike requiring repair: $75
- Non-operational or total loss: $200 or full deposit forfeiture
- eBike not returned: $200 or full deposit forfeiture
Dispute Process: If you disagree with a deduction, you may submit a Customer Concerns Form for review and documentation.
Ingress Protection & Weather Limitations
- IP53 Rating: eBikes are protected against limited dust ingress and water sprays up to 60° from vertical.
- Not Waterproof: Do not expose the eBike to flooding, heavy rain, or submersion.
- Extreme Weather Disclaimer: Damage from dust storms, flooding, or other harsh conditions may void the deposit refund.
User Responsibility
- Operate the eBike only within the intended conditions described above.
- Perform a visual and functional check before accepting the bike.
- Return the eBike with all original accessories and in operational condition.
- Record a short video of the eBike upon return clearly documenting its condition and all included accessories.
Pickup & Diagnostic Confirmation
- By picking up the eBike (or authorizing a representative), you confirm that it was in working condition upon handoff.
- It is your responsibility to inspect the bike, including throttle, brakes, motor, and battery before leaving.
- Any issues must be reported immediately before departure.
Pre-Assembled Units & Warranty Disclaimer
- Pre-assembled rental units are not covered under the manufacturer’s warranty.
- You accept all responsibility for repairs and maintenance for the duration of the rental.
Return Conditions
- The eBike must be:
- Returned in fully functional condition
- Returned moderately clean (free of excessive dirt, mud, food, or sand)
- Returned with both keys, charger, and battery
- Missing items or damage will result in deductions from your deposit.
- A video showing all sides of the bike and its condition is required at drop-off.
Company Responsibilities
- Ensure each eBike meets our IP53 ingress protection standard before rental.
- Conduct regular quality checks and servicing of our fleet.
- Provide you with care and maintenance instructions, and support if issues arise during normal use.
Compliance & Policy Updates
- We follow applicable industry regulations for eBike rental safety and protection.
- This policy may be updated at any time; the version you sign will apply to your rental agreement.
Policy Enforcement
- Violating this policy may result in partial or full forfeiture of your deposit.
- Examples include:
- Water damage or submersion
- Failure to return required accessories
- Mechanical failure caused by misuse
- Refusing or failing to record a return condition video
- Returning a non-operational or heavily soiled unit
Rental Acknowledgment & Agreement
By signing below, I confirm that I have read and agree to all of the following:
- I understand my eBike is IP53 rated and must not be exposed to flooding or heavy rain.
- I understand the manufacturer’s warranty does not apply to pre-assembled rentals.
- I will return the eBike clean, fully functional, and with all original accessories.
- I understand the deposit will be reduced if the bike or accessories are missing, damaged, or non-functional.
- I will record a return video showing the bike’s condition and accessories.
- I understand I will be notified of any deposit deductions and can submit a Customer Concerns Form if needed.
